Terms of Service
Last updated September 26, 2026
These terms are the agreement between you and [Company legal name] (“ProvenFarm”, “we”) for using ProvenFarm's website, apps and services. We've tried to write them plainly. By creating an account or using ProvenFarm, you agree to them.
1. What ProvenFarm is — and isn't
ProvenFarm helps you organize farm records, run a farmstand, keep documents and certificates, prepare for inspections and connect with other farms.
ProvenFarm is not a certification body, a veterinarian, an accountant, a lawyer or a USDA partner. Readiness scores, checklists and reminders are organizing tools. They are not a determination that you meet any standard. Only your certifier or the relevant agency decides that. You remain responsible for your farm's records, labels, animal care, food safety and legal compliance.
2. Your account
- You must be at least 18 (or the age of majority where you live) to create an account.
- Give accurate information and keep your password safe. You're responsible for what happens under your account.
- The person who creates a farm is its owner. The owner controls the farm's records, plan, billing and team, and can invite managers, workers and time-limited inspectors. Team members can see and change farm records according to their role.
- If an owner leaves a farm business, the owner can transfer the account by contacting us. We may ask for proof of authority before transferring anything.
3. Your records and content
Your records belong to you. You give us permission to store, process, back up and display them only as needed to run ProvenFarm for you. This includes showing the things you choose to make public, such as your farmstand page, product QR passports and community listings.
- You can export your farm's records at any time (Settings → Data).
- Keep the originals of anything you're legally required to keep. For example, certified organic operations must keep records for 5 years (7 CFR 205.103). ProvenFarm helps with this — organic records are voided rather than deleted — but it doesn't replace your own obligations.
- Don't upload anything you don't have the right to share, or other people's private information without their permission.
4. Plans, trials and billing
- ProvenFarm Free costs nothing. Paid plans (currently ProvenFarm Stand $9/month, ProvenFarm Core $29/month, ProvenFarm Pro $49/month, ProvenFarm Organic $99/month, ProvenFarm Compliance+ $249/month, or yearly at a discount) are billed in advance, monthly or yearly, through our payment processor, Stripe. We never see or store your full card number.
- A new paid subscription may start with a free trial. You won't be charged until the trial ends, and you can cancel before then at no cost.
- Subscriptions renew automatically until you cancel. You can cancel anytime from Settings → Plan → Manage billing. Your plan stays on until the end of the period you paid for, then your farm moves to Free. Your records are kept.
- Payments aren't refunded for partial periods, except where the law requires it. If something went wrong, write to us — we'll be fair.
- We'll give you at least 30 days' notice by email before a price increase affects your subscription.
- If a payment fails, we'll tell you and keep your features on for a while so you can update your card. After repeated failures, the farm may move to Free.
- Links under Farm Supplies go to Amazon. As an Amazon Associate, ProvenFarm may earn a commission from qualifying purchases. It doesn't change your price, and what you buy there is between you and the seller.
5. Community and marketplace
The community map, groups, messages and marketplace let farms find and help each other. By using them, you also agree to the Marketplace rules.
- ProvenFarm is not a party to any sale, trade or deal between farms. We don't hold money, inspect animals or goods, or guarantee listings. Buyers and sellers are responsible for their own deals, permits, health papers, transport and taxes.
- Your farm's location on the map is shown only approximately, never as your street address unless you choose to show it.
- We may remove content or limit community access to keep the community safe. We'll tell you why, and you can appeal.
6. Farmstand updates for customers
On a farm's stand page, customers can sign up to get that farm's updates. ProvenFarm sends them on the farm's behalf.
- Every email has an unsubscribe link.
- Farms may only send farmstand news to people who signed up themselves, and must not import or add contacts who didn't.
7. Acceptable use
Don't use ProvenFarm to break the law, mislead customers or certifiers, harass anyone, send spam, or try to access other farms' data. Don't attack, overload, scrape or reverse-engineer the service, and don't resell it without our permission. We may suspend accounts that do.
8. Ending your account
You can delete your account at any time (Settings → Data). We may suspend or close accounts that seriously or repeatedly break these terms. Where possible, we'll warn you first and give you a chance to export your records.
9. Changes to ProvenFarm and to these terms
We're always improving ProvenFarm, and features may change. If we make a material change to these terms, we'll tell you by email or in the app at least 30 days before it takes effect. If you keep using ProvenFarm after that, the new terms apply.
10. Disclaimers and limits
ProvenFarm is provided “as is”. We work hard to keep it accurate, secure and available, but we can't promise it will always be error-free or uninterrupted. To the fullest extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement.
To the fullest extent the law allows, [Company legal name] isn't liable for indirect, incidental, special or consequential damages, or for lost profits, lost certifications or lost data. Our total liability for any claim is limited to the greater of what you paid us in the 12 months before the claim, or $100. Some places don't allow these limits, so they may not apply to you.
You agree to cover our reasonable costs if a claim is made against us because of content you posted or a deal you made through the community.
11. Governing law
These terms are governed by the laws of the State of New York, without regard to its conflict-of-laws rules. Any dispute will be heard in the state or federal courts located in New York, unless the law where you live says otherwise. Before filing a claim, please contact us — most problems can be solved quickly.
